Operations Manager – Administration, Finance & HR

The Opportunity

You will be the operational backbone of the company, ensuring that governance, finance, HR, and office operations run smoothly and efficiently. By working closely with management and external partners, you will create structure, reliability, and transparency across all administrative processes, enabling the organization to focus on growth and strategic priorities.

Your mission

GOVERNANCE (15%)

  • Preparation of Board/AR meetings and related documentation
  • General support in coordination and alignment with stakeholders
  • Support in organizing and preparing the Annual General Meeting, including documentation

FINANCE (25%)

  • Preparation of payroll and travel expense reimbursements
  • Operational support for year-end closing activities
  • Operational point of contact for auditors and tax advisors regarding administrative audits and ad-hoc questions
  • Support with short-term liquidity planning
  • Invoicing
  • Online banking, payment runs, and payment administration

HUMAN RESOURCES (approx. 30%)

  • Scheduling and coordination of interviews
  • Preparation of employment contracts and reference letters
  • Maintenance of employee master data in Personio
  • Preparation of salaries and payroll payments
  • Primary contact for the external payroll provider

OFFICE MANAGEMENT (30%)

  • Travel arrangements for C-level executives
  • Organization of meetings and events
  • Contract management and monitoring of IT service providers (e.g. PriceHubble, AWS)
  • Coordination and support of office IT setup

 

Your profile

  • Bachelor degree, preferably with HR, Finance or Management focus. Alternatively, a corresponding vocational training
  • Minimum of 2 years working experience in Finance, HR and/or Office Management
  • Flexible work attitude and willingness to perform
  • Ability to work independently and prioritize
  • A very structured and organized approach
  • A friendly and understanding appearance
  • The ability to familiarize yourself with new topics independently
  • Fluent in German & English
